Job Description

The post holder will support the End Point Assessment Coordinator with the day-to-day operational demands for the End Point Assessment (EPA) process that comes with the delivery of high-quality apprenticeship programmes and excellent customer service both internally and externally, including responsibility for specific areas of work from start to finish and, as a consequence, organising and prioritising workloads within required timelines. Work with stakeholders to coordinate the process of the End Point Assessment for the University of Derby for both integrated and external EPAs.

Principal Accountabilities

Working with the End Point Assessment Coordinator you will:

1) Co-ordinate and process the End Point Assessment of all University of Derby apprentices which includes:
· creating apprentice records on internal and external systems
· collating, logging and uploading apprentice evidence to internal and external systems
· registration and booking of apprentices for end point assessment on internal and external systems
· supporting academic teams in informing apprentices on end point assessment evidence requirements and timescales
· supporting the creation of guidance documents for internal and external use
· monitoring the progression of apprentices and undertake compliance checks to ensure Gateway completion
· ensuring completion and achievement of end point assessment is accurately recorded on the ILR
· liaising with End Point Assessment Organisations on apprentice certification
· co-ordinating room bookings and technical requirements for end point assessment activities such as online tests, examinations, professional discussions
· acting as the liaison point, where necessary, between the End Point Assessment Organisation and the employer where work-based end point assessment activity is required
 
2) Support academic teams and the End Point Assessment Coordinator on the administration relating to procuring End Point Assessment Organisations
3) Act as the first point of contact for apprentices seeking to or, in the process of undertaking end point assessment 4) Act as the first point of contact for employers seeking to or, in the process of undertaking end point assessment
5) Act as the first point of contact on all matters with those End Point Assessment Organisations we hold contracts with, keep up to date with their requirements and liaise effectively with them
6) Set-up and maintain accurate records and associated management information relating to end point assessment activity
7) Produce process flow documentation to support end point assessment activity of all apprenticeships
8) Monitor, log and report apprentice attendance at end point assessment activities
9) Maintain up to date knowledge and understanding of the Education and Skills Funding Agency regulations relating to End Point Assessments
10) Develop processes to support the apprentice and employer journey pre, during and post end point assessment
11) Engage effectively with apprenticeship leads across the University
12) Work closely with College Relationship Co-ordinators on all aspects of apprenticeship compliance to ensure all required documentation for audit purposes has been received and is accurate
13) Officer meetings including producing minutes, hospitality requirements and maintaining of attendee details
14) Support apprentice and employer events as required
15) Undertake any required Continued Professional Development to support the role and continued compliance with funding agency requirements
16) Support the wider administration of apprenticeships This is not a complete list of all duties and responsibilities, the post-holder may be required to undertake other duties commensurate with the level and skills/qualifications of this role.

Candidate and Skills Requirements:

Essential Criteria

Candidate must have graduated.

Qualifications

· Academic or vocational qualification at Level 4, or relevant experience

· GCSE in English and maths 4-9 or equivalent
 
Experience
· Working independently and as part of a team
· Managing several activities/projects to meet deadlines · Analysis of data · Organising events/activities
· Note taking and creating actions with agreed timescales
 
Skills, knowledge & abilities
· Confident in working with organisational and/or external procedures/regulations
· Confident in a team environment and able to engage others in-person and on Microsoft Teams.
· Confident in developing internal and external professional relationships
· Understanding of an academic institution, with ability to demonstrate success in monitoring and evaluating systems to ensure compliance.
· Detailed knowledge and understanding of systems and processes required for compliance controls.
· Confident in developing internal and external professional relationships in-person and on Microsoft Teams
· Good written and oral communication skills.
· Good I.T. skills and proven analytical and problem-solving capability.
· Proven communication and interpersonal skills.

· Willingness to work outside of normal hours at times as relevant to achieving targets and meeting the needs of the FES provision. · Ability to work periodically at each location where FES provision activity is delivered. There will be opportunities for home working, when appropriate.
 
Desirable Criteria Qualifications
· HND in a related subject
· Management/business/customer care qualification
 
Experience
· Familiar with end point assessment of apprenticeship programmes would be advantageous
· Working in an administrative function
Successful candidate will require an enhanced DBS check.

Pay Rate:  £12.13 per hour
Working Hours: 18.5 hours per week – times to be agreed
Length of Contract: Up to 31.12.2024
Start Date: 01.10.2024
