Job Description
An exciting opportunity has arisen for a motivated and enthusiastic individual to join the University’s Apprenticeship Hub for a short-term period. You will have a keen eye for detail, readily apply initiative, demonstrate a commitment to working as a team member and produce work of a high quality. Centering on supporting the day-to-day operational demands that come with the delivery of high-quality apprenticeship programmes and excellent customer service both internally and externally, you will have responsibility for specific areas of work from start to finish and, as a consequence, organize and prioritise workloads within required timelines. Supporting the Operations & Compliance Manager, you will have a key role in the storage and retrieval of information, returns, audit, compliance, monitoring and governance. Problem solving and the ability to remain calm are key attributes to this role along with the ability to build effective partnerships with key internal and external stakeholders, whilst ensuring continuous quality improvement and learner success at all times.
 

1. Co-ordinate, manage and process apprentice sign ups/exits ensuring all required documentation for audit purposes has been received and is accurate

2. Create and manage apprenticeship records (eg: ILR, DAS, LRS, apprentice files, evidence packs) in line with funding agency requirements

3. Co-ordinate and manage LARS applications and the uploading of programme information to Course Directory

4. In an advisory capacity support internal and external stakeholders on relevant policies, procedures and quality audit requirements and provide information as required

5. Develop robust systems and checks to validate apprentice and employer data to support funding claims

6. Maintain and coordinate accurate and up to date employer engagement activity records

7. With the Operations & Compliance Manager be responsible for MIS and the production of all associated reporting to identify starts, leavers, achievements, completions, success rates, out of funding etc

8. Lead on and develop processes to support the apprentice and employer survey cycle including their distribution, return, analysis and the reporting of outcomes

9. Act as the lead administrator for our e-portfolio (currently Smart Assessor)

10. Work closely with College Relationship Co-ordinators on all aspects of apprenticeship compliance to ensure all required documentation for audit purposes has been received and is accurate

11. Organise meetings including the production of high quality notes and making logistical arrangements as appropriate

12. Support apprentice and employer events as required

13. Undertake any required Continued Professional Development to support the role

14. Any other duties commensurate to the role

Candidate and Skills Requirements:

Essential:

Qualifications

  • GCSE Maths and English at grade C or above or willingness to achieve
Experience
 
  • Working independently and as part of a team
  • Managing several activities/projects to meet deadlines
  • Managing and analysis of data
  • Organising events/activities
  • Note taking and creating actions with agreed timescales
Skills, knowledge and abilities
 
  • Strong digital and organisational skills
  • Confident in working with organisational and/or external procedures/regulations

  • Confident in developing internal and external professional relationships
  • Able to articulate and produce written communications that are well structured
  • Extremely organised and with excellent time management and prioritisation skills
  • Able to work on own initiative
  • Have a methodical work approach/eye for detail and the ability to set high standards for self and others
  • Confident in the use of MS Office and all associated database/software functions
  • Able to think problems through into positive solutions

Working Hours and Length of Contract:
 
1 x 37.5 hour contract
 
1 x part time hours (up to 20hours per week)
 
Start date ASAP for 1 months initially (potential for extension)
You will be expected to work on site at Kedleston Road
  
Rate of Pay:
 
£10.92 per hour
